HHS IHS RFI: Automated Telephone Patient Messaging System

Notice ID: RFI-CSU-21-003-RDJ

“The Billings Area Indian Health Service, Crow Service Unit (CSU) is seeking sources for Patient reminder phone/text message system and server and phone prescription refill services for the Crow Service Unit, Crow Agency, Montana, 59022…”

“Crow Service Unit (CSU) currently utilizes clinical support staff to give patients call reminders of upcoming appointments/refills and to call patients for those patients who “no-show” in hopes of rescheduling them.  However due to staffing issues and turnover in staff this is not always a consistent practice.  This practice also does not allow for utilizing of phone text messaging and there is little if no documentation in the patients charts for appointment reminder calls. CSU would benefit greatly from having an automated call back or patient notification system in order to create nursing staff efficiency, increase our productivity numbers, and give patients options to respond to notifications regarding appointments utilizing new technology.”

“System services request include:

  • Optimize information technology via automated appointment reminder system that will be reliable and consistent and provide patients the option of replying or cancelling appointments so they can be filled from a patient waiting list to ensure access to care is optimized.
  • Expand safe, confidential patient messaging and encourage innovation in new technology in order to compete with other health care systems.
  • Will provide CSU with a standardized communication technology with a universal language that is already being practiced at other health care systems.
  • Ensure messaging is consistently practiced between all clinics and ancillary departments creating a sense or reliability and consistency for CSU user population.
  • Improve clinical efficiency to allow staff to handle other duties involved in direct patient care.”

“The AudioRefill for Pharmacy will eliminate the need for staff to manually check the refill line every hour and first thing in the mornings.  The refill requests will have the capability automatically update to Electronic Health Record (EHR).  This will allow staff to concentrate on refills and medication safety.”

“Potential offerors must be knowledge and have expertise of CSU RPMS scheduling and pharmacy refill systems in EHR…”
